      Summary: AI Email Copilot processes all data locally on your device using Ollama. No email content, personal data, or usage information is ever sent to external servers.
    

1. What This Extension Does

AI Email Copilot is a Chrome extension that enhances Gmail by summarising email threads, generating reply drafts, categorising emails, and extracting action items. All AI processing is performed locally using Ollama, an open-source local AI inference engine running on your own machine.

2. Data We Collect

We do not collect any data. Specifically:

No personal information is collected
No email content is transmitted to any external server
No analytics or telemetry data is gathered
No cookies or tracking technologies are used
No user accounts or authentication are required

3. Data That Stays on Your Device

The extension stores the following data locally in your browser's chrome.storage.local:

Your Brain memory — Email text you explicitly choose to save for writing style personalisation (up to 50 entries). This data never leaves your browser.
Edited responses — When you refine an AI-generated reply, the before/after versions are saved locally to improve future suggestions (up to 30 entries).
Settings — Your preferences such as whether Your Brain is enabled.

You can delete all stored data at any time from the extension popup by clicking "Clear Memory".

4. How Email Content Is Processed

When you click an action button (Summarise, Reply, Categorise, or Actions):

The extension reads the email thread text from the Gmail page DOM
The text is sent to Ollama running on your local machine (http://localhost:11434)
Ollama processes the text using AI models stored on your device
The result is displayed in the extension panel

      No email content is ever sent to any external server, cloud service, or third party. The entire pipeline runs on localhost.
    

5. Permissions Used

storage — To save your preferences and optional Your Brain memory locally
host_permissions (localhost:11434) — To communicate with the Ollama AI server running on your own machine

The extension UI on Gmail is loaded via a declarative content script declared in the manifest for https://mail.google.com/* only. That does not use the scripting or activeTab permissions.

6. Third-Party Services

This extension does not use any third-party services, APIs, analytics platforms, or advertising networks. The only network communication is with Ollama on your local machine.

7. Data Security

Since all data processing occurs locally on your device and no data is transmitted externally, your email content and personal information remain under your control at all times. The extension operates with read-only access to Gmail page content and cannot modify, send, or delete emails.

8. Children's Privacy

This extension is not directed at children under 13 and does not knowingly collect any information from children.

9. Changes to This Policy

If this privacy policy is updated, the changes will be reflected on this page with an updated date. Significant changes will be communicated through the extension's update notes on the Chrome Web Store.
